FAQ – Travel, Visa and Weather

V. Travel, visa and weather

International participants should check the applicable Indian visa requirements for their nationality and purpose of travel. Visa requirements and processing times may vary.

Participation by international delegates is also subject to mandatory clearance from the Ministry of External Affairs (MEA), Government of India. As the clearance process may take time, international participants are strongly advised to apply well in advance and allow sufficient time for the necessary approvals and visa processing.

International participants requiring visa invitation letters or supporting documents are requested to follow these steps:

  • Complete Registration on the conference
  • Communication from the Organising Committee: After registration, the committee may contact you if additional information is required for MEA If needed, you will be asked to complete a Google Form and provide the relevant details.
  • MEA Clearance: The Organising Committee will upload the required documents to the designated MEA portal for clearance.
  • Receive Conference Letters: Upon receiving MEA clearance, participants will be issued their conference invitation letter and, for presenters, their abstract acceptance
  • Proceed with Visa Application: Participants may then proceed with the necessary visa application and clearance procedures from their end.

December in Sonipat is generally cold, particularly in the mornings and evenings. Participants travelling from warmer regions or countries should prepare for winter conditions, and we recommend that you check the weather forecast online to plan your travel and clothing arrangements better.

Participants should bring clothing suitable for cold weather. We recommend packing warm jackets, sweaters, full-sleeved clothing, warm socks, and comfortable closed shoes. A scarf, cap, or other winter accessories may also be useful. Please also carry your personal toiletries, towels, a reusable water bottle, any essential medicines, and an umbrella. We recommend checking the weather forecast before travelling so you can plan and pack accordingly.
