Flexible Work Policy

JGU lets its staff organise their time to suit their work. Academic staff may work remotely when their teaching, research and professional commitments allow, and administrative staff may adjust their working hours within a wide window, with approval. This reduces the number of journeys to campus, supports wellbeing and helps staff balance their work with their lives and with the university's commitment to cut emissions from commuting.

Flexible Work Policy

Policy Details

•      Policy Name: Flexible Work Policy

•      Year Reviewed: 2026

1. Purpose and Principles

1.1 This policy sets out how staff may work remotely or at flexible hours, so that work meets the needs of the university and staff can make the best use of their time.

1.2 It rests on trust, accountability, fairness between departments, and the continuity of teaching, research and services.

1.3 It supports SDG Target 11.2 and the university's net zero target for 2035, because fewer or shorter commuting journeys lower emissions from employee commuting.

2. Scope and Definitions

2.1 Remote work means work done from home or another location outside the campus.

2.2 Flexible hours means a start and finish time, within an approved window, that differs from standard office hours.

2.3 Core hours are the hours when administrative staff are expected to be available on campus.

3. Policy Statement

3.1 Academic staff may sometimes work from home or other locations, depending on their teaching, research and professional commitments. There is no minimum daily working-hours requirement for academic staff, and remote work is allowed outside class hours and designated office hours.

3.2 Administrative offices generally operate from 9:00 AM to 5:30 PM, and administrative staff are on campus for at least 8.5 hours a day, with core hours of 10:00 AM to 4:00 PM.

3.3 Departments may adjust start and finish times within set limits, according to their functions.

3.4 With approval from the reporting office, Head of Department or Dean, administrative staff may work flexible hours between 8:00 AM and 8:00 PM.

4. Staff Development and Research Leave

4.1 Regular academic staff may attend research-related events, including national and international conferences, up to five times per financial year, where the events lead to Scopus-indexed outputs such as articles, books or book chapters, as described in the Staff Development Policy.

5. Roles and Responsibilities

5.1 Staff agree arrangements with their supervisors in advance, remain reachable during agreed hours and meet their deadlines and teaching commitments.

5.2 Supervisors, Heads of Department and Deans approve flexible arrangements, make sure services and classes are covered, and apply the policy consistently.

5.3 Human Resources records approved arrangements and advises on the policy.

6. Procedure

6.1 A staff member who wants to work flexibly makes a request to their reporting office, Head of Department or Dean, stating the arrangement and the period.

6.2 The approver decides in light of the department's needs, and records the decision.

6.3 Attendance is recorded in line with the Recording of Attendance Policy.

7. Wellbeing and Equity

7.1 Arrangements are offered fairly, without discrimination on any protected ground.

7.2 Staff with caring responsibilities, disabilities or health needs may ask for adjustments, which the university considers under its Reasonable Accommodation Policy.

7.3 The university encourages staff to use the shuttle and metro services on the days they come to campus.

8. Monitoring and Review

8.1 Human Resources reviews the operation of the policy each year, including its effect on service levels and on emissions from employee commuting.

8.2 The policy is reviewed at least once every year and was last reviewed in 2026.
